Greetings and welcome to the IU Events Calendar!
The IU Events Calendar system is a publisher based system were IU events are added by the department sponsoring that event or by a central campus office by the approval of submissions.
Indiana University, with roughly 100,000 students on eight campuses has hundreds of events each week and it would be highly improbable that every event will be listed in this calendar system.
It should also be noted that currently only the Alumni Office at both IU Northwest and IPFW use this system.
So lets get started!
If you accessed the calendar system through a calendar, a link directing you straight to a certain calendar from another web site, the 'Guest Page' info won't apply but at some point you may need to access and navigate from it.
A list of all the calendars in the IU Events Calendar system can be found at the 'Guest Page'. The ' Guest Page' is located at http://events.iu.edu/webevent.cgi and can be accessed when looking at any particular calendar by clicking on the 'Guest Page' tab in the upper right hand corner.
The 'Guest Page' will let you see and navigate to any of the calendars in the IU Events Calendar system. It will also allow you to search immediately for a certain type of event by keyword search.
The 'Guest Page' looks like this.

To use the 'Guest Page', simply select or highlight by clicking on a calendar then click 'Go to Calendar'.
You also have the option to search by keyword or to go to a specific date on that calendar by first selecting your calendar and then clicking the date within the little calendar.

There are times when you could either have no calendar selected or be viewing multiple calendars, and thus you won't be able to see the calendar header which contains the name. Notice that the bread crumb in the upper left corner will let you know what calendar you are viewing and if you are viewing multiple calendars.

At some point you may find that you don't have a calendar selected. . Again check the bread crumb. You will need to click on the 'Select Calendar' button.

At this screen you will want to select the calendars on the left you want to view, highlight them and move them over to the right using the arrows in the center between the two boxes. Then click OK.

Since three calendars were moved over you are viewing all three, see the check boxes and the bread crumb. No header is visible.

To view only one calendar at a time a little trick is to click the 'Select All' box twice to unselect all. Then check the calendar you would like to view. Then click 'Update Display'.

If you have an event that you want to submit to a calendar, and the calendar allows events to be submitted then you will find that red 'Submit Event' button displayed on the right side of the calendar.

You also have the option of viewing RSS feeds to keep you informed while browsing and you can spice up your site by promoting these events on your website. Some calendars allow you to subscribe to them and will have a subscribe link visible. This is a self service subscription service so remember how you did it to unsubscribe.

Now you should be looking at the Celebrate IU calendar view seen below.

Our suggestion for web designers is to avoid sending your viewers to this guest page by linking directly to calendars. You can find the links to different calendars at the calendar id page. The individual calendar is much faster to load than the 'Guest Page'.

The first time any publisher logs in you will not have a calendar selected. You must select a calendar to add an event. Again check the bread crumb. You will have to set up your 'Favorite Calendar List'. To do this click on the 'Show Calendar List' link.

You must then choose to 'Edit Favorite Calendar List'. This list will be there every time you log in. The 'Today's Favorite Calendar List' will expire in 24 hours.

Remember if you find yourself lost without a 'Add Event' button or looking at an unknown calendar with no header, check first that you are logged in and second that the bread crumb in the upper left corner has you where you want to be. It will let you know what calendar you are viewing and if you are viewing multiple calendars.

This new calendar system is more sophisticated in it's permissions settings compared to the previous calendar. You have to be given all permissions, either to view, subscribe, submit or to add events. If any of those things are not available to you and you need them, contact events@indiana.edu.
